How TheyCall handles booking information

This Privacy Policy describes how information is handled when you begin or complete the TheyCall booking form, schedule a meeting, or interact with related booking communications.

1. Information collected

  • Contact information: first and last name, phone number, and email address.
  • Qualification information: answers you provide to booking questions.
  • Booking information: requested time, time zone, appointment status, organizer, calendar event, and meeting-link information.
  • Campaign and browser information: landing page, UTM parameters, referral or campaign source, Meta click and browser identifiers, IP address, and user agent when applicable.
  • Operational information: submission identifiers, consent records, timestamps, delivery status, and technical logs used to protect and troubleshoot the booking flow.

2. Progressive form recovery

After you enter a structurally valid phone number, the booking experience may save that number and other fields you have already entered so TheyCall can identify an interrupted request and follow up. A partial capture, a completed form and a booking do not by themselves emit a Meta advertising conversion event. A positive signal is created only if TheyCall later marks the contact as qualified, or records a completed sale.

3. How the information is used

  • To save, review, and respond to your booking request.
  • To show availability, prevent conflicting bookings, and create calendar or meeting invitations.
  • To maintain the TheyCall CRM, qualification history, follow-up status, and sales records.
  • To secure, diagnose, and improve the reliability of the booking experience.
  • After complete submission, to permit advertising measurement only if a later human qualification or completed sale meets the rules described below.

4. Meta advertising measurement

Submitting the completed form permits TheyCall to use the server-side Meta Conversions API later, but it does not immediately send a conversion. If a human marks the contact as qualified, TheyCall may send one lead event. If a completed sale is recorded, TheyCall may send one purchase event. A contact marked non-qualified is not sent to Meta by this booking system. Data used for matching can include normalized or hashed contact identifiers, campaign or click identifiers, IP address, user agent, event time, source URL, and a unique event ID used to prevent duplicates.

Your detailed qualification answers are not sent in Meta conversion payloads. They remain in the TheyCall CRM for booking and sales follow-up. Meta processes measurement data under its own terms and privacy practices.

5. When information is shared

Information may be processed by providers that support the booking experience, such as hosting and security services, Google Calendar or Google Meet when connected, communications providers, and Meta for the measurement described above. Information may also be disclosed when required by law or reasonably necessary to protect users, TheyCall, or the integrity of the service.

TheyCall does not sell personal information for money. Advertising measurement may be treated as “sharing” or targeted-advertising processing under some privacy laws.

6. Retention and deletion

Information is retained only for as long as reasonably necessary to manage booking requests, conduct appropriate follow-up, maintain business and conversion records, protect the service, resolve disputes, and meet applicable legal obligations. Retention can differ depending on whether a form was abandoned, a meeting was booked, or a commercial relationship followed.

When information is no longer needed, it is deleted or de-identified where reasonably practicable. Some information may remain temporarily in backups, security logs, or records that must be retained by law. You may request deletion using the method described in the Rights section.

7. Your rights and choices

Depending on where you live, you may have rights to request access, correction, deletion, restriction, portability, or objection to certain processing, and to withdraw consent where consent is the applicable basis. A withdrawal applies going forward and does not invalidate processing already completed lawfully.

To make a request, use the contact method shown on the TheyCall website or reply through your booking communications. Provide enough information to identify the relevant booking. TheyCall may need to verify your identity before completing a request. You can also use browser controls to limit cookies or similar storage, although doing so may affect measurement or parts of the experience.

8. Security and international processing

TheyCall uses reasonable technical and organizational measures intended to protect booking information, but no internet service can guarantee absolute security. Service providers may process information in countries other than your own, subject to protections required by applicable law.

9. Children

The booking experience is intended for business conversations and is not directed to children. Do not submit information about a child through this form.

10. Changes and questions

This Policy may be updated as the booking experience or applicable requirements change. The updated date above identifies the current version. For questions or privacy requests, use the contact method made available on the TheyCall website or in your booking communications. No postal address or named privacy officer is designated on this page.
